The Challenge
Giving Field Employees the Tools They Need, Wherever Work Takes Them
With employees working in locations across the country, the organization needed a better way to capture information while employees were in the field.
Audio recordings were an important part of documenting work, but employees also needed access to the customer and business information stored in Dynamics 365 CRM. Managing recordings separately from CRM data created extra steps and made it more difficult to keep information connected to the appropriate records.
Connectivity presented another challenge. Field employees could not always rely on having internet access, but their work still needed to continue.
The organization needed a mobile solution that could bring recording, CRM information, navigation, and daily work management together—without requiring employees to be constantly connected to the internet.
Key Challenges
- Capturing audio while employees were working in the field
- Connecting recordings to the appropriate Dynamics 365 CRM records
- Accessing and updating business information from a mobile device
- Maintaining productivity in areas with limited or no connectivity
- Reducing duplicate work when recordings related to multiple records
- Giving employees one place to manage their daily field activities
The Solution
A Custom Recorder App Built for the Field
OmniVue developed a custom Recorder App using Microsoft Power Apps, integrated directly with the organization’s Dynamics 365 CRM environment.
Rather than introducing another disconnected tool, the application brings recording capabilities and CRM information together in a mobile experience designed around the way field employees work.
Employees can capture audio directly from the app and associate recordings with relevant CRM records. When one recording applies to multiple records, the app allows it to be paired accordingly, helping eliminate the need to create the same recording multiple times.
Most importantly, the application was designed to work both online and offline. Employees can continue accessing information and completing work when connectivity isn’t available. Once a connection is restored, updates can synchronize with the organization’s business systems.
The result is a mobile solution that extends Dynamics 365 CRM into the field while providing employees with the tools they need in one place.
Key Capabilities
More Than an Audio Recorder
The Recorder App was designed as a complete field-work experience, combining several important capabilities into one application.
Online & Offline Access
Employees can continue working when internet connectivity is unavailable. They can access information, capture recordings, and complete work in the field, with updates syncing once connectivity is restored.
Integrated Audio Recording
Audio can be captured directly within the application and associated with the appropriate Dynamics 365 CRM records, keeping recordings connected to the business information they support.
Recording Pairing
When one recording relates to multiple CRM records, employees can associate it with each applicable record instead of recreating the recording. This helps reduce duplicate work and keeps documentation organized.
CRM Access in the Field
Employees can access relevant CRM information from their mobile device and update records while completing their work, reducing the need to return to a separate system later.
Daily Work & Progress Tracking
The application gives employees visibility into their recordings and daily activities, helping them identify completed work and what still needs attention.
GPS Navigation
Location information stored within CRM can be used to launch navigation through Apple Maps or Google Maps, helping employees move efficiently between customer or job locations.
Automated Workflows
Microsoft Power Automate can extend the solution by moving recordings and information through additional Microsoft services, including SharePoint, OneDrive, and Azure.
Customer Benefits
A More Connected Way to Work in the Field
By combining audio recording, CRM access, navigation, and work tracking in one application, the Recorder App gives field employees a more streamlined way to complete and document their work.
Work From Anywhere
Offline functionality helps employees remain productive even when they're working in areas where reliable internet access isn't available.
Reduce Duplicate Work
Recordings can be associated with the appropriate CRM records—including multiple records when necessary—helping employees avoid repeating the same work.
Keep Information Connected
Instead of managing audio separately from customer and business information, recordings remain connected to the Dynamics 365 CRM records they support.
Improve the Field Experience
Employees can access customer information, capture recordings, track their work, and navigate to locations from a mobile experience designed around their day-to-day responsibilities.
Build for What's Next
Because the Recorder App is built on Microsoft Power Platform, the organization has a flexible foundation that can evolve as processes change. Additional automation, integrations, and capabilities can be introduced as future business needs emerge.
Turning a Business Need Into a Power Platform Solution
The Recorder App demonstrates how Microsoft Power Platform can extend existing business systems to solve highly specific operational challenges.
Instead of forcing field employees to adapt their work to multiple disconnected applications, OmniVue created a solution around the organization’s processes—bringing Dynamics 365 CRM data, mobile recording, offline capabilities, and workflow automation together.
For organizations with employees working outside the office, solutions like this can help close the gap between field operations and the business systems that support them.
